Hills functions terms and conditions

Function booking agreement

To avoid any misunderstandings we ask that you read through our function terms and conditions before confirming your booking. These conditions will help us to serve you in the best possible way.

Tentative and confirmed function bookings

Tentative bookings will be held for seven (7) days and are not guaranteed. Should the booking confirmation form not be received within seven (7) days, Hills Functions reserve the right to cancel the tentative booking at any time, without further notice.

A signed booking form with valid credit cards details is required to secure your chosen function date and area.

Final numbers and catering

Final numbers and all catering must be confirmed seven (7) days prior to your function date. This confirmed number will be the amount charged regardless of how many guests arrive on the day. Last minute changes up to twenty-four (24) hours before your function will be considered but cannot be guaranteed.

Catering will not be confirmed until payment is received by Hills Functions. Please ensure your payment details are correct and can be charged as per payment type below.

Prices

All prices quoted are inclusive of GST. Prices are correct at time of printing and are subject to change without notice.

Payment

Full payment of room hire, catering and bar tabs is due prior to your function, this excludes beverages on consumption. All prices are inclusive of GST. Large scale events may be required to pay a 10% deposit upon confirmation of function. Beverages on consumption and any extras will need to be paid to the venue at the conclusion of your function.

Bank transfer

Must be received by Hills Functions five (5) working days prior to your function date. Bank details will be provided on invoice.

Credit card

Credit card payment will be processed by Hills Functions on the Wednesday prior to your function.

This will be from your nominated credit card on your booking form. AMEX will be accepted; however a 3% surcharge will apply to all AMEX transactions

Cash

Full cash payments will be accepted in person to your function coordinator. Cash payments must be received five (5) working days prior to your function date.

Refunds and cancellations

Any cancellations must be made in writing to your function coordinator seven (7) days prior to your function date, to avoid being charged. Cancellations inside seven (7) days will be charged for room hire and catering. Non-appearance without said notification will not be applicable for a refund. Full function payments are non-refundable and are not transferrable for any other products or services.

Delivery and collection of goods

Hills Functions Venues will only accept delivery of goods on the day of the function; all goods must be collected on the same day unless prior arrangements have been made. Any goods delivered to our venues must be fully labelled with event details and organisers contact information.

Responsible service of alcohol

Hills Functions and its venues practice the Responsible Service of Alcohol. Whilst we encourage guests to enjoy themselves, we will not allow guests to drink to excess and place themselves and other guests at risk. Venue staff members are instructed to check ID’s, not serve alcoholic beverages to guests under the age of 18 years, or to guests perceived to be close to or in a state of intoxication. All minors must be in the immediate presence of their legal guardian at all times in our venues.

Please be aware management will support staff who refuse service to intoxicated, underage, quarrelsome, unruly or offensive guests. Such guests will be asked to remove themselves from the venue immediately.

Compliance

If management has reason to believe that the behaviour of your guest(s) affects the smooth running of our Venues business or reputation, we reserve the right to remove the individual(s) from the premises at any point before, during or after your function.

Dress regulations

Function guests are subject to the same dress regulations as all other guests. Please see your chosen venues specific dress code and entry policy.

Responsibility

Hills Functions and its venues does not accept responsibility for damage or loss of any guests property left on the premises. Function organisers are financially responsible for any damages sustained to our venues property, fittings or equipment. Credit card details are taken as a precaution before your function and any damages will be charged if applicable.

Force majure

Where matters beyond the reasonable control of Hills Functions and its Venues prevent Hills Functions from fulfilling its obligations under this contract, the client agrees to release Hills Functions from any liability or loss incidental or consequential to such matters.


Australian hotel and brewery terms and conditions

The Australian Hotel and Brewery does not cater for eighteenth birthdays parties or bucks parties.

Dress regulations

Guests are subject to the same dress regulations as all other hotel patrons. Neat, clean, tidy & appropriate attire & appearance at all times. Management reserves the right to refuse entry to any person or ask them to leave the Hotel at any time.

The following dress is not accepted at any time:

  • NO singlets
  • NO clothing with offensive language or designs
  • NO dirty or excessively frayed / torn clothing
  • NO dirty or scruffy joggers
  • NO gang clothing
  • NO hats, caps or beanies (except for medical or religious reasons)
  • NO offensive or gang related tattoos

Entry policy

The Australian Hotel and Brewery fully supports the Responsible Service of Alcohol and its practices.

  • We will not allow intoxicated, violent or quarrelsome behaviour at our hotel.
  • Obscene and/or offensive language will not be tolerated.
  • Strict dress regulations apply at all times.
  • Video & audio monitoring occur at all times throughout the venue
  • Video & audio monitoring recordings are made available to police at all times.
  • Any indiscretion will result in barring
  • All patrons are required to adhere to Smoking restrictions throughout the venue
  • Management reserves the right to refuse entry to any person anytime.

Minors policy

Given the tough licensing laws The Australian Hotel and Brewery must adhere to, the following rules apply to anyone under the age of 18:

  • All children must be in the company and immediate presence of a responsible adult at all times.
  • Children are not allowed to be present at the bar whilst alcohol is being served.
  • Children are not allowed to be in the restroom on their own.

Bistro reservations

All bistro reservations will only be held for a maximum of 15 minutes otherwise management reserves the right to cancel the booking. Please note that tables will be turned around every 2 hours from the time the booking is made or from the time you are seated, whichever comes first. We ask that all minors under 18 years be accompanied and remain in the immediate presence of a responsible adult (that is a parent or legal guardian) at all times.

Responsible service of alcohol

  • Quarrelsome, disorderly, offensive or riotous conduct will not be tolerated.

Please note – Management will support staff that refuse service to intoxicated, underage, quarrelsome, unruly or offensive patrons. Such patrons will be asked to remove themselves from the venue immediately.

Smoking

All patrons are required to adhere to the smoking restrictions in place throughout the hotel. Smoking can only take place in the beer garden.

Responsibility

Bella Vista Hotel is not liable for damage or loss of any customer’s property left on or delivered to the premises. Customers are responsible for the logistics and cost of deliveries to and from Bella Vista Hotel. External organisers of functions are financially responsible for any damages sustained to the hotel property, fittings or equipment. Credit card details are taken as a precaution before the event and damages will be charged if applicable.


Bella vista hotel terms and conditions

Bella Vista Hotel does not cater for Eighteenth and twenty-first birthday parties or bucks parties.

Dress regulations

Guests are subject to the same dress regulations as all other hotel patrons. Neat, clean, tidy & appropriate attire & appearance at all times. Management reserves the right to refuse entry to any person or ask them to leave the Hotel at any time.

The following dress is not accepted at any time:

  • NO singlets
  • NO clothing with offensive language or designs
  • NO dirty scruffy joggers
  • NO gang clothing
  • NO tracksuit pants or hooded jumpers
  • NO hats, caps, bandanas or beanies (except for religious reasons)

The following dress is not acceptable after 6:30pm:

  • All of the above
  • NO joggers or thongs
  • NO board shorts
  • NO sports jerseys or shirts with numbers on the reverse side, fluro work shirts
  • Men are required to wear enclosed footwear with jeans or dress pants with collared shirts.

Entry policy

  • The Bella Vista Hotel fully supports RSA (responsible service of Alcohol) practices.
  • We will not allow intoxicated, violent or quarrelsome behaviour at our hotel.
  • Obscene and/or offensive language will not be tolerated.
  • Strict dress regulations apply at all times.
  • Video & audio monitoring occur at all times throughout the venue
  • Video & audio monitoring recordings are made available to police at all times.
  • Any indiscretion will result in barring
  • All patrons are required to adhere to Smoking restrictions throughout the venue
  • Management reserves the right to refuse entry to any person anytime.
  • No offensive tattoos (management discretion).

Minors policy

Given the tough licensing laws The Bella Vista Hotel must adhere to, the following rules apply to all children under the age of 18:

  • All children must be in the company and immediate presence of a responsible adult at all times.
  • Children are not allowed to be present at the bar whilst alcohol is being served.
  • Children are not allowed to be present in any of the 3 private booths at all times.
  • Children are not allowed to be in the restroom on their own.
  • Children are not permitted to stay in the hotel after 8:00pm on any night.

Bistro reservations

All bistro reservations will only be held for a maximum of 15 minutes otherwise management reserves the right to cancel the booking. Please note that tables will be turned around every 2 hours from the time the booking is made or from the time you are seated, whichever comes first. We ask that all minors under 18 years be accompanied and remain in the immediate presence of a responsible adult (that is a parent or legal guardian) at all times.

Bistro pre-orders and Bella Tea bookings are subject to the same terms and conditions as a function booking. Bistro pre-orders will not be accepted October through to December.

All patrons are required to adhere to the smoking restrictions in place throughout the hotel. Smoking can only take place inside the gaming lounge’s enclosed smoking area or outside in the café seating area or beer garden.

Safety of patrons

All efforts are made by management of the hotel to provide patrons with the safest possible environment. For this reason alone the hotel utilises ID EYE Technology for identification purposes. In order to gain entry, you may be asked to have your ID scanned and photo taken.

Responsibility

Bella Vista Hotel is not liable for damage or loss of any customer’s property left on or delivered to the premises. Customers are responsible for the logistics and cost of deliveries to and from Bella Vista Hotel. External organisers of functions are financially responsible for any damages sustained to the hotel property, fittings or equipment. Credit card details are taken as a precaution before the event and damages will be charged if applicable.

Music

The Bella Vista Hotel retains complete discretion of music and noise levels at all times. In the case of dispute between patrons and The Bella Vista Hotel concerning the nature of any music / entertainment or the noise levels of such music/entertainment, the decision of The Bella Vista Hotel shall be absolute and final.

  • NO tracksuit pants or hooded jumpers

  • Minors are only permitted in the non-gaming areas of the hillside hotel.
  • All minors must be in the company and immediate presence of their legal parent or guardian at all times.
  • Minors are not allowed to be present at the bar whilst alcohol is being served.
  • Minors are not allowed to be in the restroom on their own.
  • All minors must leave the premises when requested.

Bistro

All bistro reservations will only be held for a maximum of 15 minutes otherwise management reserves the right to cancel the booking. Insurance

Hillside hotel will take all necessary care, but accepts no responsibility for damage or loss of merchandise, Equipment or personal belongings left in the hotel. Organisers should arrange for their own insurance in the case of a large event. Organisers or subcontractors of any event or function will only be given access to their designated area 1 hour before the booking time unless prior arrangements have been made.

Music

Hillside hotel retains complete discretion of music and noise levels at all times. In the case of dispute between patrons and the hillside hotel concerning the nature of any music / entertainment or the noise levels of such Music/entertainment, the decision of the hillside hotel shall be absolute and final.
